Clinic policy on appointment cancellation, missed appointments, or late arrivals

Our policy is 2 business days (48 hours) notice to receive any requests to cancel or reschedule an appointment. Changes are not finalized until you have received confirmation by a staff member.

Appointments missed without the advanced notice as outlined above may be subject to a fee to compensate us for the time and resources allotted to you.

If you are late or no show for your appointment, there may not be adequate time to address your concerns. You may be asked to book another appointment. If you are more than 10 minutes late for your appointment, you will have missed your time slot.

Any late arrival for over 10 minutes or no show for your appointment as outlined above may be subject to a fee to compensate us for the time and resources allotted to you.

How do I book, reschedule, or cancel appointments?

Through Ava Connect portal

We support online booking systems to manage your appointment by Ava Connect.

If you have already registered an account, you could click below button and make an appointment or change your appointment by yourself.

If you do not have an Ava Connect account yet, please speak with our staff. Any changes should be submitted 48 hours before your appointment.

Through phone

To book an appointment with your family physician, please call us at (604) 285-3222 or visit the clinic in person during business hours.

To reschedule, or cancel an appointment, please call us at (604) 285-3222 or visit the clinic in person during business hours.

All changes to your appointment should be confirmed with our staff, any changes made without prior confirmation shall be considered invalid.

Note: You can leave a phone message on our phone system, but it may be subjected to a delay as the phone messages are only checked periodically due to the busy nature of the clinic.

Booking specific services

When booking specific services (e.g., Pap test, injection, prenatal check-up), ensure to mention your requirements during the booking process.

Do you support virtual appointments?

Yes we do!

Patients must be ready to receive the video or phone call at the scheduled time and remain in a quiet, private place free from distractions. Avoid scheduling a virtual consultation during work hours, while commuting, or in public spaces. Allow at least 30 minutes for your appointment.

What payment methods are accepted?

We accept cash, e-transfer, debit cards and credit cards (a 2% POS fee applies). All fees for uninsured services must be paid in full before receiving the service.

Do you service out-of-province or non-residents?

We provide services for patients from other provinces. We do not have the ability to verify the validity of your provincial insurance plan in a timely manner. We request that a $50 deposit be made for each appointment.

Please contact the clinic after 14 business days to request a refund of your deposit, if applicable. If your provincial insurance plan is invalid, we will show you the documentation and you may forfeit your deposit and required to make up the price difference of a consultation.

Clinic policy on conduct and aggressive behaviour

We have a zero-tolerance policy on aggressive behaviors.

We are committed to providing a safe, secure, and respectful environment for all patients and staff. Words or actions that are deemed inappropriate will not be tolerated. The individual(s) may be asked to leave, the police may be called, and/ or the individual(s) may face dismissal from CRC Health Centre.

Appointment duration and delays

For each visit, please try to focus on your primary concern or problem. You may run out of time if you save up multiple problems for a single appointment.

You may be asked to book a separate appointment to spend the appropriate amount of time on your concerns. If necessary, we will discuss plans for any other medical issues in future visits. We encourage patients to respect the time of others who are also waiting and need medical care.

Appointments that are delayed past regular business hours may need to be rescheduled.

I have NOT seen my specialist for a long time, what do I do?

If you lost follow-up for 18 months or more, we suggest you have your family doctors or practitioner to write a referral again.

I am really unwell, what do I do?

If this is an emergency, please contact local emergency health services (9-1-1) or head to the nearest hospital emergency department.

Please let us know if you have sudden changes to your sign/symptoms, we could always let your specialist know for advice. We will get back to you as soon as we receive a response from the doctor, but depending on the schedule of the doctor it may take a few days to even a few weeks.

We still recommend you book an appointment with your family doctors or primary care provider to get checked out right away.

I’m out of my medications! What do I do?

Please always keep track of how much medications you have on-hand and prepare to refill your medication 2-4 weeks before it’s used up.

  1. We suggest you seek your pharmacist and fax a medication refill requisition to us or see if the pharmacist can provide emergency supply to you until you can see a doctor.
  2. You could also book an appointment with your family doctor or other primary care providers (walk-ins will work as well) to refill your medications.
  3. If your medication is prescribed by a specialist, you can contact the clinic to book an appointment, but the appointment times for specialist can take a long time so it is recommended to see if your family doctor can help renew your medications in the mean time.

How do I see a specialist? It is my first time

All new patient must have a referral letter from a physician or primary care provider licensed to practice in Canada.

Please have you family doctor or primary care provider send a referral for you and fax it to CRC Health Centre Clinic.
